2. How is Hopin Structured?
The Reception area is the welcome page or “lobby” of the conference. Here you can quickly find out what’s happening at the event currently: a welcome message, the schedule, and sponsors.
The Stage will be used for the plenary sessions (keynotes, welcome and farewell, etc). Attendees are in ‘watch only’ mode in this area of Hopin. You can interact and ask questions in the stage chat area.
The Sessions segment of Hopin will be used for all breakout sessions besides keynotes. In Sessions, you will see a landing page with the breakout sessions that are scheduled for each time slot, at the time they are scheduled.
Sessions will automatically appear on schedule and automatically hide once their time is up. Attendees can view the list of previous sessions by clicking Show past segments at the Reception area of the event. In sessions with multiple people and slides, you can double-click any screen to enlarge it.
You can ask questions in the chat area of each session. Please only join ‘on camera’ if you are invited by the speaker or moderator.
The Networking segment on Hopin is pure engagement and is similar to one-on-one meetings on a FaceTime call. This segment is designed to recreate the conversations or watercooler chats that are important at an in-person event. The Networking area automates the discovery of new connections. When an attendee participates in the Networking, they are matched with a random attendee and meet for a set time preset by the organizer.
Attendees can click the Connect button during a call to exchange contact information and after the event the newly made contacts will appear at https://hopin.to/account/connections page of their individual Profile. For more information click here.
The Expo area is the virtual exhibitor hall with vendor/sponsor booths. You can click on any ‘booth’ to enter it, chat live on video with a representative (if they are there) or play the video/slides, in the chat area there will be information about the company and you can leave a message in the chat or click the ‘call to action’ button to interact.
6. Chat Function
On the right hand side of your screen there is a chat function area. There are several areas for chats within the chat area. The Event chat is for conference-wide discussions. It’s accessible on every page of the platform. The stage & session chats are for discussions specific to the presentation happening on that stage. Stage & session chats are where attendees can ask presenters questions during the live Q&A portion of each presentation.
Q: Is Hopin like Zoom?
A: No, Hopin is a conference hosting platform with different areas that you as the user will click on to enter and exit. We will be using the Stage, Sessions, Networking & Expo areas. Please follow the program schedule and look for the red LIVE or NOW indicators to know where to go. Click on the icons on the left side of your screen to go to each area.
You will be in ‘watch only’ mode with ONLY speakers and moderators turning on their cameras to come on screen.
Please do not click 'share audio/video' unless you are invited to do so.
Q: How do I access the online conference?
A: The access link was emailed to you on April 29, 2021 from ‘firstname.lastname@example.org This is the link you need to access the event. Please visit the link as soon as possible to ‘claim your ticket’ on Hopin. Once you have done that Hopin will send you a calendar invite and reminders about the event 24hr and one hour before the event.
Q: What technology do I need?
A: Hopin runs in your web browser; there is no app or anything new to download. Use Chrome or Firefox browsers for the best experience. An internet connection that allows you to participate in a Teams or Zoom call should be sufficient for the Hopin platform. A desktop experience for attendees is recommended, but web browsers in mobile devices (Android and iOS) are also supported.
Q: I’m having technical issues, how should I proceed?
- Make sure you use Google Chrome or Firefox.
- Refresh the browser or close your browser and try to join again.
- Most of the time, refreshing or restarting your browser will clear up any issues
- Third-party Extensions (VPN, Ad Blocker, etc): Sometimes, third-party extensions can affect the experience by blocking some of the Hopin interface elements. That’s why we also recommend opening the event in Incognito mode (Command+Shift+N) on Chrome or Private tab (Command+Shift+P) on Firefox
- If you are in a session, ask the technical host for help in the chat.

Q: I used Hopin before but can’t remember my password, how can I reset my password for Hopin?

Q: How do I attend a breakout session?
A: BIABC breakout sessions will take place in the Sessions area of Hopin (navigation is on the left side of the screen). Click on “Reception” at any time to see the full schedule of sessions, and click on “Sessions” at the start time of any breakout session to join, or at any time to see what is currently live.
Q: Can I join a discussion or ask a question with live audio & video?
A: If the presentation is on the Stage, no you cannot, attendees are in watch only – please use the chat or q&a function to ask questions. If the presentation is in a Session, you can request to ‘share audio & video’ however it is up to the moderator and presenters if you will be allowed to join.
Q: How can I enlarge the view of a presentation?
A: In a session you can double click on any part of the presentation screen to enlarge the view for yourself only. In the stage, unfortunately there is no view customization.
To make your view larger, you can press F11 to make your browser full screen and also you can minimize the chat area, to do this click on the |> at the top of your screen. If you click it again the chat will reopen.
Q: Can I pause a presentation on the Stage?
A: The stage presentations are live. You can hit pause on the video player in Hopin while the stage is playing, but when you click play again you will be brought back up to the live feed, not to where you had initially hit pause.
Q: What’s the difference between the Event, Stage & Session chats?
A: The Event chat is for conference-wide discussions. It’s accessible on every page of the platform. The stage & session chats are for discussions specific to the presentation happening on that stage. Stage & session chats are where attendees can ask presenters questions during the live Q&A portion of each presentation.
Q: What happens when I @ mention someone in the public event chat channels?
A: Users can type the @ symbol and a few characters of an attendee’s first name to highlight that person’s name and profile within the chat stream. The mentioned attendee does not receive a notification.
Q: What is “Networking?” What happens when I click the “Ready” button?
A: Hopin Networking is an opportunity to meet new people online during the conference.
When an attendee clicks the “Ready” button they are matched with a random fellow attendee via face-to-face video, similar to chat roulette. Meetings end automatically after five minutes. Attendees can leave at any time.
Conversation partners may decide to share contact information by clicking the “Connect” button. If both parties click “Connect,” the pair can find each other’s contact information (email address and social media) via the Connect section of their Hopin profile.
Q: What is the Expo?
A: The Expo is live throughout both conference days, with sponsors ‘live’ in their booths during the breaks. You can go to the Expo anytime and click on each exhibitor booth to visit with BIABC sponsors. Remember to interact with the booths to be entered to win the American Express gift card.
Q: What happens when I send an attendee a direct message?
A: Attendees can message each other through direct messages. To send a DM, find the person you wish to chat with in the People tab, click their profile photo and send the message. A red dot in the recipient’s People tab and on the envelope icon (top right) will let them know they have a new message.
